How big is the gap between chasing fees slowly vs. fast?

Looking at data from 100+ active tutors, the average payment delay is:

  • No proactive reminder message: 18 days overdue on average
  • Send one message at month-end: 5 days overdue on average
  • Heads-up early in the month + month-end follow-up: 2 days overdue on average

When to send: Morning of the 1st–3rd of each month.Why it works: By framing it as a “summary of last month,” the parent doesn’t feel chased — but in practice you’ve already nailed down the due date.

Template 2: Month-end nudge (still not received)

Hi, just a gentle reminder — I haven’t yet received {{Student Name}}’s fee of HK${{Amount}} from last month, probably just slipped through ✌️
If it’s convenient today, please check {{Payment Method}}. Thanks!

When to send: 3–7 days overdue.Key phrase: “probably just slipped through” — it gives the parent an easy out, so they don’t get defensive.

Template 3: Lesson-package running-low notice

Hi, {{Student Name}}’s lesson package has {{Lessons Left}} lessons remaining and is almost used up.
If you’d like to continue, you can buy another package (HK${{Package Price}}), and I’ll lock in the current time slot for you.
If you’d like to change the time or pause for a while, just message me and we can sort it out.

When to send: When 2 lessons are left.Why: A package running out is the moment the renewal decision gets made. Send it too late (0 lessons left) and the parent has already mentally checked out — renewal rates drop noticeably.

Template 4: 2 weeks overdue (firm but leaves an out)

Hi, {{Student Name}}’s fee of HK${{Amount}} from last month is now 2 weeks overdue.
To be fair to everyone, if {{Payment Method}} still isn’t settled within this week, next week’s lessons will have to be paused.
If you’re facing any difficulty, do message me and we can work something out.

When to send: After 14 days overdue.Key: “To be fair to everyone” + “if you’re facing difficulty, let’s talk” — set a clear boundary without shutting the door.

Template 5: Pausing lessons (final notice)

Hi, since the HK${{Amount}} fee for {{Month}} still hasn’t come through, {{Student Name}}’s lessons will be paused starting next week.
Once the fee is settled, message me and I’ll reschedule the times right away.
If you have any questions, feel free to message me to follow up.

When to send: After 21 days overdue + you’ve already sent Template 4.Key: Make it clear that “once settled, we resume right away” — so the parent knows the lessons aren’t cancelled, just paused, and the cost to restart is low.

3 common mistakes

❌ “Reminder again: please transfer ASAP”

Cold, impersonal, and sounds like a debt collector. The parent instantly gets defensive. Change it to “probably just slipped through” and it feels far friendlier.

❌ Sending a message with no amount

“Haven’t received last month’s fee” — now the parent has to scroll back through the chat to reconcile, and if they find it a hassle they might delay another 3 days. Always spell it out: student name + month + amount + payment method.

❌ Using the same template for everything

Being 3 days overdue and 21 days overdue are different situations. The escalation in tone has to be clear before parents will take it seriously.
